Kick-off Meeting & Distributor Summit

The kick-off meeting and distributor summit, held back-to-back, brought together European Terumo sales force employees and their distributors to align on annual objectives. The events featured a structured programme, consistent branding, integrated audiovisual support and digital engagement tools. Thanks to careful coordination and attention to detail, both gatherings ran smoothly, building on the experience of previous editions while engaging a wide audience.

The story:

The Kick-off Meeting and Distributor Summit are key moments in the company’s calendar. Since 2015, we have been entrusted with their full organisation, covering operational, technical, and digital aspects.

This edition welcomed 350 employees and 200 distributors over the course of one week. The goals was clear: share strategy, strengthen relationships and create moments that mattered through a rich programme of plenary sessions, workshops, gala dinners, award ceremonies, and team-building activities.

We structured the project around one dedicated team, led by a Project Manager acting as the main point of contact for the client. All event information was consolidated into a single reference document, the 'Full Meeting Proposal', hosted on a secure online platform. This ensured clarity, alignment and continuity throughout the process.

A detailed destination and venue search was conducted, focusing on logistical accessibility, accommodation capacity, and the ability to host plenary sessions, workshops, and informal meetings within the same venue. Local expertise played a key role in sourcing reliable suppliers, from catering to audiovisual partners, while maintaining quality standards and budget control.

A strong visual identity was developed and applied consistently across staging, signage, room branding, digital tools and content. In parallel, a dedicated website and app served as a single source of information, offering personalised agendas, session details, speaker biographies, interactive maps, networking features, and live notifications for real-time updates.

Audiovisual production played a key role. Opening and post-event videos set the tone, supported the narrative and extended the experience beyond the live sessions. Careful show calling and speaker support kept the programme flowing smoothly.

Finally, social responsibility and engagement initiatives, including a charity corner, added an additional dimension to the events, encouraging participation while reinforcing shared values.

The result was a coherent, engaging experience that built on previous editions while raising the bar. Following this success, we delivered the 2025 edition in Malta and are currently leading the 2026 event.
