Family Day

For SWDE’s Family Day in Marche-en-Famenne, we transformed an empty site into an immersive space for 1,200 employees and their families. Distinct themed zones, digital flow management, and intergenerational activities ensured smooth logistics and memorable moments for all ages.

The story:

Family events present the unique organisational challenge to accommodating diverse age groups simultaneously, managing large-scale catering logistics, creating engaging experiences that resonate across generations, and delivering fresh concepts year after year. When SWDE approached us to orchestrate their annual Family Day, they sought an experience that would strengthen employee cohesion while providing genuine enjoyment for entire families.

We conducted comprehensive venue research focusing on capacity, accessibility, and infrastructure adaptability. The complete privatisation of WEX Palais in Marche-en-Famenne provided the exclusive, fully customizable environment essential for our vision. Through rigorous coordination with venue management, we ensured seamless space utilization and service integration, guaranteeing optimal event logistics and smooth operational flow.

Our custom registration platform centralised all essential information: schedules, site maps, activity descriptions, and access procedures. This strategic digital approach enabled precise registration tracking, optimized shuttle organization based on participant geography, and streamlined on-site check-in through intuitive signage and rapid access systems. We implemented a dedicated helpdesk providing real-time assistance for access and registration issues, while an innovative on-site booking system for popular activities allowed participants to reserve time slots, eliminating queues and optimizing crowd distribution.

Our meticulous activity selection delivered varied, inclusive programming tailored to specific age demographics. For early childhood, we created motor skill zones, ball pits, relaxation areas, and dedicated nursing spaces that ensured comfort for the youngest attendees and their parents. Children's engagement was fostered through magic shows, interactive water-themed theatre, inflatable castles, duck fishing, mini-golf, tree climbing, traditional wooden games, and go-kart circuits that provided diverse entertainment options. Teen and adult activities included mentalism performances, climbing walls, tricycle drift zones, arcade stations, and multi-generational video game areas that ensured engagement across all age groups, creating an inclusive environment where every family member could find meaningful entertainment.

Managing simultaneous dining for 1,200 participants required strategic planning and execution. We implemented dual distribution zones to optimise service flow, dedicated areas for specific dietary requirements (vegetarian, halal, gluten-free), and a centrally positioned bar capable of serving all participants within two hours. Local supplier selection enhanced quality and responsiveness while reducing environmental impact.

Environmental responsibility guided our operational decisions: collaborating with local suppliers to minimize transportation and support regional economy, utilizing recyclable cups and reusable tableware to reduce plastic waste, establishing carpooling platforms to encourage shared transportation, and creating dedicated supplier parking to eliminate unnecessary logistics movements.

Our structured follow-up process included registration data analysis for future edition optimization, participant and partner feedback collection through comprehensive post-event surveys, and personalized thank-you communications to acknowledge participant engagement.

The strategic segmentation and optimized space management created a fluid, immersive experience where every participant could fully engage. The event achieved remarkable success, delivering memorable experiences that strengthened SWDE's internal community while demonstrating our capability to transform complex logistical challenges into seamless family celebrations. This project exemplifies our expertise in large-scale event management, digital innovation, and sustainable event practices that create lasting positive impact for both organizations and their communities.
